Bookings Process

Process:

  1. Check when bookings open and when there are Groups or Interschools in the Calendar page
  2. Send your e-mail request to Booking Manager: bookings@vslskiclub.com.au
  3. Please allow up to 48 hours for a response (or 1 week when bookings open in May)
  4. If your request has been accepted, it will be “reserved” in our system pending payment. You will receive an automatic email containing the booking invoice. Please check the dates and bed quantity are correct. Notify bookings if these details are incorrect or change at any time prior to your arrival.
  5. It is your responsibility to follow up your request if you have not received notification after 48 hours (or 1 week in May)
  6. Arrange for payment. Payment in full is required immediately or at least 4 weeks prior to occupancy to fully confirm your booking. 
      1. Use the “Pay Now” link on the invoice to pay via credit card, debit card or Paypal.
      2. Transfer funds by EFT:

VSL follows a fair use policy in the allocation of bookings.

The club raises a significant proportion of its revenue through hosting school groups and generally the lodge is fully or heavily booked during these times. The Interschools period is also very busy and a time to avoid unless you really have to be there!

All bookings are taken in good faith and require the member to fully confirm the booking with payment in full. Upon confirmation of your booking by the booking officer, payment in full is required immediately or at least 4 weeks prior to occupancy to fully confirm your booking. If payment is not received your booking will be cancelled and rebooked to someone else.

You may book guests in at the same time as making your personal bookings (strictly after guest bookings open) but remember you are fully responsible for their booking and payments, explaining the club cancellation policy and the collection of all accommodation monies.

Late July & August are the peak times for the club and weekend bookings are always very heavy. Higher rates apply to August weekends. Please do not request large groups (more than 12/ 2 rooms) for this period as it is unlikely to be possible.

Midweek bookings are generally much lighter and the club is not as busy. Please consider booking midweek if you can. Check the Accommodation availability listing on the VSL website

Your booking is based on beds. The room no. allocation as indicated on the booking invoice is not guaranteed and the manager reserves the right to allocate you to another room prior to arrival.

Every effort will be made to give family groups privacy in their room. However the club style accommodation means that particularly on weekends some room sharing may be required to allow access and availability to as many members as possible.

Cancellations are possible and must be made at least four weeks prior to the booking date. Cancellations made more than these times prior to the booking date will not attract a cancellation fee and a full refund applies. Cancellations made with less than four weeks’ notice will not be refunded unless this period is rebooked to another member or guest.

Poor snow conditions and “ski guarantee” Limited snow conditions are not an acceptable reason for a late or last minute cancellation. VSL’s policy is the same as that of the Buller Ski Lifts no snow guarantee ( full details of which can be found at Mt Buller snow guarantee)

In the event that insufficient snow cover prevents the “ski guarantee” lifts from operating within three days of your scheduled arrival date a full refund of your accommodation at VSL is available.

The lifts covered by the guarantee are: *Blue Bullet * Holden Express and two of the following: * Wombat* Shakey Knees* Summit* Koflers* Chamois

Please note that the following conditions may apply:

* Lift closure due to weather

* Mechanical breakdowns or equipment failure

Therefore if 2 beginner lifts (Blue Bullet and Express) and two intermediate lifts (usually Wombat and one other) are running the club assumes adequate snow conditions and normal cancellation procedures apply. It is vitally important that your guests are aware of these conditions and do not leave you embarrassed by a late cancellation request that the club cannot grant!

Check out time is 6.00 pm for your convenience, other than when a school group is arriving on a Sunday afternoon when it is 4.00. You are welcome to ski all day and return to the lodge for a coffee before departing the mountain.

Departure duties. Your room must be vacuumed, bin emptied into the large bin in the hallway, pillows and mattress covers straightened, and generally tidied before you depart. Clean your section of the refrigerator and food baskets and leave them fresh & tidy for the next person. All dishes etc must be done before departure. Do not leave things in the dishwasher for others to put away! Luggage may be stored in the downstairs area if arriving before your room is ready.
